Patient Service Associate, Philadelphia Adult Congenital Heart Center (Philadelphia, PA)

The Philadelphia Adult Congenital Heart Center is a joint program of the Children’s Hospital of Philadelphia (CHOP) and Penn Medicine dedicated to the clinical care of adult patients with congenital heart disease. We are looking for an energetic, motivated, and creative person to join the clinical operations of this tight-knit, fast-paced, and growing program dedicated to young adults born with heart conditions.

As a Patient Service Associate for the Philadelphia Adult Congenital Heart Center, you will work with the clinical team to provide administrative support for the outpatient clinics, working closely with physicians, nurses, and administrative staff to ensure optimal clinical flow and patient satisfaction. In this role, you would gain experience learning medical charting in an electronic health records and how a cardiology outpatient practice runs, all the while being part of a friendly, supportive multidisciplinary team. In your administrative duties supporting the clinical practice, you would gain exposure to the fields of cardiology and cardiac surgery, and get a hands-on experience in real-world academic medicine.

Responsibilities include, but are not limited to:

  • Preparing patient charts in advance of clinic.
  • Entering laboratory data into the electronic health records.
  • Coordinate and schedule patient visits.
  • Obtaining medical records.
  • Organizing and triaging inter-office communication between our physicians and healthcare facilities as well as communication within the Penn Medicine system and CHOP.
  • Tracking clinical volume.
  • Updating and maintaining patient educational materials.

Motivated individuals will have the opportunity to build processes to streamline clinical operations and participate in quality improvement initiatives.  Opportunities for clinical shadowing in the office and in the operating room as well as participation in a number of research studies outside of regular duty hours are also available.

Location: Perelman Center for Advanced Medicine, 3400 Civic Center Blvd, Philadelphia, PA

Hours: Full time (40 hours per week)

Preferred Skills and Experiences:

  • Bachelor’s degree minimum
  • Prior experience with electronic health records not necessary but high level of interest and enthusiasm for learning required
  • Proficiency in computer programs (e.g. Microsoft Word, Excel, Access)
  • High level of initiative, resourcefulness, and ability to work independently
  • Excellent interpersonal and communication skills with ability to work with diverse constituents (e.g. clinicians, patients, staff, students)
  • Strong organizational and time management skills, with capacity for multitasking
